Path: Long Beach City College > Admissions and Records > Student Records > Student Email, Phone by Class

This report is useful if you would like a list of your student ID numbers, names, phone numbers, and e-mail addresses, which you cannot get from the Web Class Roster.

1. Long Beach City College Menu > follow the path
2. Find an Existing Value (find an existing report)

OR, Add a New Value  (name a new report)
4. Name your report
5. Choose the term, Enter the Class Number and type of Enrollment

Choose your file format (CSV or PDF), save the report, then RUN the report
7.
Choose the Report Manager link
8.
Click the Details link
9.
Open your report in Excel or Adobe Reader

Start with the Long Beach City College menu.

Then choose Admissions and Records > Student Records.

Then, Student Email, Phone by Class.

You have two choices here: 1. Find an Existing Value, and 2. Add a New Value. VALUE just means REPORT.

a. Find an Existing Value: (see above). Enter the Run Control ID. This is just a file name that you created the first time you are running the report. Click the Search button to find reports you have run in the past. If you have run this report before, you can search for an existing Run Control ID by pressing Search and selecting a report from the list.

b. Add a New Value: (see below). If this is the first time you are running a report, click on "Add a New Value." Enter the Run Control ID (this is just a file name that you will create the first time you are running the report).

Suggestions for report names: STU_CONTACT or SPR11_CONTACT, etc. Don't use spaces, use dashed or underscores.

Enter the Term
Select the Term desired by entering it, or if you don't know it, by clicking the magnifying glass.

Enter the Class Number
Enter the Class Number if you know it, or Select the Class Number (NBR) by pressing the magnifying glass.

Select the Student Enrollment Status by using drop down box.  (Dropped, Enrolled, Waiting). Use the magnifying class next to Student Enrollment Status to choose Dropped (D), Enrolled (E) or Waiting (W), or just type in the letter.

Click the Save button (lower left). Then Press the Run button (upper right).

This will take you to the Process Scheduler Request Screen.
Now, choose the Format for your report by using the pull-down menu under 'Format." The default is PDF, but to choose an editable Excel format, choose CSV. 

Then click OK.

You are now back on the screen below. Now click the Report Manager link.

On the next screen, you will see your report listed here, with the Status as "Processing." Eventually, you will see a hot "Details" link here.
Click the Refresh button if necessary.

Below is an example of what your list will look like with both the CSV and PDF formats.

Next, on the Report Detail screen, you will see your CSV file.

Click on the link once to open it, RATHER THAN right-clicking on it to download it. It should open and launch Microsoft Excel.

It is a good idea to RENAME your file at this point, especially if you will be downloading reports for multiple classes. Use Save As...to do this.

Once the file is open in Excel, you may have to expand the columns, as you can see below.
Place your cursor between the top of the columns until the cursor changes to the cross hair pointer, and drag the columns to the right.
