Computer Refresh

Overview

IITS Computer Refresh Program

Introduction

The IITS Computer Refresh Program receives funds to replace out-of-warranty computers once every four years for the following employee types.

  • One computer per permanent fulltime district employee.
  • Officially designated adjunct faculty offices.

As of the end of June 2020, the program has purchased and replaced the following.

Academic Year Computers
2013/2014 96
2014/2015 153
2015/ 2016 227
2016/2017 145
2017/2018 93
2018/2019 175
2019/2020 155

The Computer Refresh Process

To facilitate transparency in the selection process, and increase the accuracy of computer inventory, an inquiry is emailed to the VPs, Deans, Department Heads and Directors of each area at the start of the fall and spring semester. The information gathered during this process is analyzed and verified by IITS.

When a computer is ready to be installed, IITS creates a ticket for the recipient. When available, a technician will schedule a time to perform the install, help transfer files, and configure printers.

IITS e-wastes the computers that it replaces. Regardless of the funding source (grants excluded), staff must agree to relinquish the old equipment. IITS will not re-purpose out-of-warranty computers, or be held responsible for supporting them. If a department knowingly employs an out-of-warranty computer, and that computer poses a security risk, IITS reserves the right to confiscate it and provide a loaner while the department purchases a replacement.

What the Program Does Not Cover

The program does NOT receive funds for the following resources; therefore, each area must plan and provide funding for them through its Department Plan.

Computers

  • Two or more computers per person.
  • New permanent employee positions.
  • LTEs.
  • Student workers.
  • Contractors.
  • Operational or Department specific computers.
  • Indiscriminate adjunct faculty spaces.
  • Computers that exceed the standard configuration.

Accessories

  • Printers.
  • Additional monitors.
  • Additional hard drives.
  • Additional RAM.
  • Additional cables.
  • etc.

New Fulltime Instructional Faculty

Separate funds are provided to IITS to purchase computers for new fulltime instructional faculty members. IITS does NOT receive funds for new hires in the following positions; therefore, each area must plan and provide funding for them through its Department Plan.

  • Deans
  • Department Heads
  • Librarians
  • Counselors
  • Academic Management

Computer Choices

Full-time faculty: To leverage technology in the classroom, IITS offers laptops in addition to desktop computers from both Apple and Dell. If a laptop is chosen, IITS will include a keyboard, and mouse to provide a more desktop-like experience in the office. If a department has computing needs that exceed the  standard configuration, it must support those needs through its Department Plan.

PLEASE NOTE, at this time, there are no extra monitors in stock. Since second monitors are not funded by the program, IITS can only offer them when it is fortunate to come into possession of surplus from another area.

Permanent staff members: The default computer for a permanent staff member is a Dell AIO desktop. If a department determines that its staff member(s) are better served by one of the other three options, the appropriate Department Head, Dean, or Director must confirm that need with IITS. If a department has computing needs that exceed the standard configuration, it must support those needs through its Department Plan.
